Welcome to the Gathering by MWSU Catering!

Our mission is to provide you with exceptional quality, exceptional service and a creative cutting-edge culinary experience. Our professional staff is available to assist in planning your special event Monday-Friday 8:30am – 4:30pm. Ordering

To ensure a successful event, you are advised to have all catering orders in place and finalized at least 7 business days prior to your event. We also accommodate last minute events; however, last minute orders may limit your menu selections and staffing options. A 15% service charge will be applied to the final bill for all orders placed or changed less than three business days prior to the event date.

We will confirm your order by email. Please look over this information carefully to ensure your order is correct. Please return confirmation to Chartwells within two (2) working days.

Selecting Your Menu

The selections and prices presented in this guide are for standard deliveries. A sales representative can help you create a special menu.

Order Change Policy

Any order changes within 3 business days of your event will be subject to an additional charge determined by Chartwells.

Cancellation Policy

Events booked by MWSU departments and organizations will incur no charge if event is canceled more than three (3) business days in advance. If the order required a special order item, the department may be charged for the item if it has already been received by Chartwells. For non-MWSU customers, please refer to your catering contract for specific order cancellation policies.

Event Space

Chartwells does not book meeting/serving space on the campus of MWSU. All room, AV, and setup arrangements must be made prior to contacting Chartwells through the Clark Student Center at (940) 397-4224.

PLEASE NOTE: Chartwells is not liable for food delivered to a location that you have not booked through the proper campus department.

Delivery Service

Delivery service is available from 7am to 9pm, Monday through Friday, and 7am to 8pm Saturday and Sunday. If you require a delivery or pick-up outside of these hours, a $50.00 service charge may be added. Please discuss details with your sales representative. We do not have access to room keys, therefore, we need your help to ensure that the facilities are ready when our staff arrives. Please provide tables for food and beverages on site before our arrival.

If you need special arrangements for your pickup, e.g., if a meeting following your event will be taking place in the same room, please inform your sales representative. Please be aware that pick up times are approximate and we will make every attempt to pick up our equipment as soon as possible after the end of your event.

Deliveries Not on MWSU Campus:

Chartwells will cater events off the Midwestern State University campus. A delivery fee of 20% will be added to all events within a five (5) mile radius of campus and a food minimum of $200.00 strictly enforced. For events greater than five (5) miles from MWSU Campus a food minimum of $300.00 will be strictly enforced with a delivery charge of 25% or $1.00 per mile, whichever is greater. Final approval for any event greater than 5 miles from campus is strictly at the discretion of the Chartwells.

Guarantee Your Guest Count

Your catered event is a business agreement between you and Chartwells. A guaranteed minimum number of guests must be given to Chartwells by noon, three working days prior to your event. Once given, the guaranteed minimum number may not be decreased. Billing will be based on your guaranteed number or actual attendance, whichever is greater.

Left-Overs

All food is prepared by Chartwells Catering. Per health code regulations, we do not allow customers to remove any perishable leftover food from any event. Some nonperishable food (i.e. baked goods) may be taken, however prior arrangements must be made by the customer. Chartwells will NOT provide any type of to-go containers and customers are not allowed to take baskets, platters or other equipment from the event. Any missing equipment will be billed to the client for replacement.

Linen/China Fees

You can upgrade any meal on our menu from heavy duty plastic-ware to china, glassware, linen tablecloths and napkins for an additional charge. For events in the Clark Student Center add $4.00 per person; for events held anywhere else on Campus add $5.00 per person. You must notify the Catering Department of your linen color choices a minimum of one (1) week before your event.

    Preparing Payments

    Midwestern State University Customers: a final invoice will be sent after the completion of the event. This invoice will need to be processed for payment with a direct payment voucher through the University Business Office.

    Non-Midwestern State University Customers: Payment is due to Chartwells prior to your event in terms lined out in your catering contract. We accept the following forms of payment: Cash, MasterCard, Visa, Discover, American Express, and Checks. Purchase Orders require preapproval, and must be received by Chartwells no later than 3 business days prior to your event.

    Tax Exempt Status

    Should your group carry a tax exempt status, we will require a copy of your tax exemption form no later than 3 business days prior to your event.

    Menu Creation

    Our culinary team has prepared menus for you to use as a guideline in planning your event. Although we offer a unique and wide variety of foods, please keep in mind that not all choices may not be suitable for the venue of your event. Please allow us to assist you in making your choices and arranging any special requests. Complete customer satisfaction is our goal. If you would like to request a special menu, please call or email us and we will be happy to work with you to find your perfect event.

    Service Tiers

    Items sold by the dozen, or by the gallon, are typically served as a drop-and-pickup. Buffets, seated meals, and receptions will be treated and staffed as such. Should you desire serving staff beyond the scope of a standard seated, buffet, or drop-off service, they will be assigned to your event for set-up and will remain on-site throughout the event to maintain food and beverages at a rate of $20 per server, per hour. There is a four-hour service minimum. Wait staff will also be responsible for any relevant clean-up of catered services at your event.

    Action Station: $75 and requires a minimum of 50 guests. You have your choice of dinnerware: disposable or a china upgrade (additional cost). Based on your selection, a variety of display-ware will be discussed with your catering manager.
